Cyprus Wine Expo ยท Oenognosia

This policy

This is the privacy policy for the Cyprus Wine Expo app for Android, iOS and the web. The app is operated by the Oenognosia team, the organiser of the Cyprus Wine Expo.

It explains what personal data the app collects, why we collect it, who we share it with, how long we keep it, and the choices and rights you have. It applies to this app and the services it provides for the fair.

Last updated: 14 October 2026.

At a glance

We collect the details you give us when you register, the activity in the app such as bookings, favourites and scans, and basic technical information that keeps the app working.

We use it to run the app and the fair, to connect you with exhibitors and other participants, and to keep the service secure.

We share it with the service providers that run the app for us, with the people you choose to connect with, and with the fair organisers who administer the event. We do not sell your personal data and we do not share it for advertising.

Traffic between your device and the app is encrypted, and access to data is restricted.

You can edit your details or delete your account and its data at any time from the My Badge page of the app.

Information you give us

Account details: your name, email address and sign-in details.

Visitor and professional profiles: company, your role at the fair, country, phone number, company registration and VAT numbers, and a short bio, as applicable to the registration you complete.

Exhibitor profiles: company details, stand number, logo, cover image, photo gallery, video link, description and your wine listings.

Anything else you write in the app, such as messages and enquiries to exhibitors, or tasting notes.

Information the app creates as you use it

Your badge and its QR code.

Your favourites, tasting notes and ratings.

Your masterclass bookings, your schedule, and requests for exhibitor meetings.

The contact and lead records created when badges are scanned at the fair, including name, company, role, email and phone as published on the badge.

Messages and enquiries you send or receive in the app.

Camera and QR codes

The app asks for camera permission only when you choose to scan a QR code, such as a visitor badge or an exhibitor stand. The camera picture is read on your device to recognise the code. We do not upload, store or share camera images.

To draw your own QR badge, the app asks a third-party QR image service to render the code. Only the short badge code is sent to that service.

Technical information

Our hosting provider records the basic technical data needed to run and secure the app, such as device type, operating system, app version, IP address, and error and diagnostic logs.

How we use your information

To create and manage your account and your badge.

To run the fair's features: the exhibitor directory, masterclass bookings, your schedule, favourites and messaging.

To pass your details to an exhibitor when you scan their stand, send them a message, or when they scan your badge at the fair, so that they can follow up with you.

To let the organisers review registrations, approve professional and exhibitor applications, and administer the event.

To send you notifications and emails about the fair, including booking confirmations and event updates.

To keep the app secure, prevent misuse, and fix problems.

To produce aggregate statistics about the fair, which do not identify you.

Our legal bases

Where European data protection law applies, we rely on: the performance of our contract with you, for running your account and the services you ask for; our legitimate interests, for administering the fair, supporting exhibitors and keeping the app secure; your consent, for example for push notifications, which you can turn off in your device settings; and compliance with our legal obligations.

Who we share it with

People you choose. Your badge details are visible to anyone who scans your badge at the fair, and exhibitors you contact see the details you send them. Contacts and leads created at the fair are available to the participant who collected them.

The fair organisers and their staff, who administer registrations, approvals and the exhibitor and visitor lists.

Service providers that run the app on our instructions: our app platform and cloud hosting provider (Base44), the email delivery service that sends the app's emails, the push notification service that delivers mobile alerts, and the QR image service (api.qrserver.com) that draws QR codes from the short badge code.

Authorities or other parties where the law requires it, or where it is necessary to protect the rights and safety of participants.

We do not sell your personal data, and we do not share it for advertising.

Where your data is stored

Your data is stored on our app platform provider's cloud infrastructure. This may involve processing outside your country. Where data is transferred outside the European Economic Area, we rely on the safeguards our providers put in place, such as standard contractual clauses.

How long we keep it

We keep your account and profile data while your account is active. Records connected to a fair edition, such as bookings, leads and contacts, are kept while the accounts involved are active, so that follow-up after the fair works.

Messages you sent to an exhibitor stay with that exhibitor, and lead records an exhibitor collected about you stay with that exhibitor while their account is active. You can ask us to remove them, as explained under your rights below.

Keeping your data safe

Traffic between your device and the app is encrypted with HTTPS.

Access to data is controlled by per-user access rules in our backend: a participant reaches their own records, and the administrators of the fair have the access they need to run it.

Your rights and choices

You can see and correct your details directly in the app: open My Badge and tap the edit button. If you are an exhibitor, you can edit your stand and your wine listings from your dashboard.

You can delete your account and its data yourself in the app, and you can turn push notifications off in your device settings.

Where European data protection law applies, you also have the right to ask for a copy of your data, to have it corrected or erased, to restrict or object to certain processing, to receive your data in a portable format, and to withdraw consent you have given. To use any of these rights, email us.

You have the right to complain to a data protection authority. In Cyprus this is the Office of the Commissioner for Personal Data Protection, at www.dataprotection.gov.cy.

Deleting your account and data

Open the app, go to My Badge, tap Delete Account and type DELETE to confirm. This permanently deletes your account and sign-in details, your visitor or professional profile, your badge, your favourites and tasting notes, your masterclass bookings, and the contact cards you collected.

If you are an exhibitor, email us at the same time and we will close your stand profile and remove your wine listings.

If you cannot sign in, email us from the address you registered with and we will delete the account for you.

We may keep limited records where the law requires it, and anonymised statistics that no longer identify you.

Children

This app is for adults taking part in a wine trade fair and is intended for people aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has registered, contact us and we will remove the account.

Changes to this policy

If we change this policy we will publish the new version on this page and update the date at the top. Significant changes will also be announced in the app.
